The Art of Proofreading: Tips to Perfect Your Writing

You’ve spent hours crafting an article, a report, or even an email. You hit “send” only to realise later that it’s riddled with typos or awkward sentences. Does this sound like an all too familiar situation? Embarrassing, right? You start to worry about the impression that you’ve given. If only you’d have proofread your work before sending.

What is proofreading?

Proofreading is the meticulous review of a written piece to identify and correct errors in spelling, grammar, punctuation, and formatting. It’s not the same as editing, which focuses on improving the overall structure and clarity of a piece. Instead, proofreading is the fine-tuning stage that ensures your content is ready for publication or submission.

Think of it as the final polish that makes your work shine.

However it’s the step that most people leave out as it’s boring and time consuming. There are those people that trust themselves to do a good job of it but in reality it’s difficult reading your own words and being able to spot errors, especially if you’re eager to get something finished.

Why is proofreading important? 

Before setting up as a Virtual Assistant I was Head of Subject at a High School where I taught GCSE, A-level and once upon a time BTEC. As I’m sure you’re aware this is a role that comes with a great deal of marking whether it be in the form of assignments, essays or exam questions. This meant that I was frequently reading work and spotting errors. Now as a teacher you expect students to make mistakes, often they are writing in timed conditions with the pressure of an assessment and therefore they can be easily forgiven for making mistakes.

However, it’s not so easily forgiven when it’s a business document or marketing material that is customer facing.

It shows a lack of care and professionalism and let’s face it, no-one wants to be seen as careless and unprofessional. That’s why as a Virtual Assistant I’m here to help with your proofreading requirements and ensure that you only send documents out that error free. 1. Take a break

Before diving into proofreading, step away from your writing for a while. This break allows you to return with fresh eyes and a clear mind.

2. Read aloud

Reading your work out loud helps you catch awkward phrasing that might go unnoticed when reading silently.

3. Print it out

Sometimes, reading on a screen can cause you to overlook errors. Printing your work provides a new perspective and makes it easier to spot mistakes. When I was a teacher, I always preferred to have a paper copy of students work for this very reason. I could then write and make amendments on the page.

4. Get a second opinion

If possible, have someone else review your work. A fresh set of eyes can catch errors you might have missed. This is where I come in. As an experienced teacher who has marked countless essays and exam papers I have the skills and ability to proofread documents for you.
